Arriving into an unfamiliar airport after a long flight is the moment where good planning is most obvious. A meet and greet arrival removes the guesswork: someone is waiting where you expect them, your luggage is taken care of, and the car is already accounted for. It is particularly valuable for international guests, first-time visitors and anyone travelling with a group.
Flight monitoring before you land
The arrangement starts before the aircraft does. Given your flight number, we monitor the arrival so that the meeting time follows the actual landing rather than the scheduled one. Early arrivals, delays and gate changes are all normal, and the point of monitoring is that they stay unremarkable.
This is one of the clearest differences between a planned chauffeured arrival and hailing a car on landing — a distinction we cover in chauffeur service vs taxi.
Where your chauffeur will be waiting
The meeting point is agreed in advance and confirmed to you, rather than left to be worked out on arrival. In most cases that means the arrivals hall for your terminal, at a specific and easy to describe position. If you would prefer a kerbside collection instead, that can be arranged — it is often quicker for travellers with hand luggage only who know the airport well.
Name boards
Where it is helpful, your chauffeur can wait with a name board. Some passengers appreciate it, particularly guests being collected on behalf of a business or visitors who have not met the chauffeur before. Others prefer discretion and no visible name at all. Simply tell us which you would like when the journey is arranged, and whether the board should show a personal name or a company name.
Luggage assistance
Your chauffeur will assist with luggage from the arrivals hall to the vehicle, including trolleys where they are needed. If you are travelling with an unusual load — ski equipment, golf clubs, exhibition materials or a large family holiday's worth of cases — mention it at the enquiry stage so an appropriately sized vehicle is allocated. Our guide to choosing the right vehicle and the fleet page set out passenger and luggage capacities by class.
Staying in touch on the day
Communication should be simple and one step ahead of you. Before travel you will have confirmation of the arrangement and a contact number; on the day, your chauffeur's details and the meeting point are confirmed so that a message on landing is all that is needed. If something changes at either end, the sooner either of us knows, the easier it is to adjust.
- Provide the flight number, not just the airline and time.
- Give us a mobile number that will be reachable on landing.
- Tell us the number of passengers and cases actually travelling.
- Say in advance whether you would like a name board.
The onward journey
Once you are in the vehicle, the journey continues to the address confirmed at the booking stage. Additional stops — an office before a hotel, or dropping a colleague en route — should be agreed in advance so the timings and vehicle allocation account for them. For business arrivals, a quiet rear cabin suitable for calls is usually part of the reason a chauffeured transfer was chosen; see corporate chauffeur services in Berkshire and our corporate travel page.
Arranging a meet and greet arrival
Meet and greet can be requested on any airport arrival we handle across Heathrow, Gatwick, Luton, Stansted, Farnborough and London City — see airport transfers for the full picture, or the Reading to Heathrow transfer guide for a worked example. To arrange one, submit your flight details through the journey planner or contact our team.
